CANCELLATION POLICY - RV RENTAL TERMS & CONDITIONS
Cancellation Policy
All cancellations must be in writing and are effective upon receipt by Allstar Coaches. If notice is received more than 45 days prior to the rental date, Rentee will forfeit Booking Deposit. If notice is received between 45 and 30 days prior to the rental date, Rentee will be charged 65% of the full rental price as a cancellation fee. If notice is received between 29 and 10 days prior to the rental date, Rentee will be charged 75% of the full rental price as a cancellation fee. ALL BOOKINGS OR RESERVATIONS RECEIVED LESS THAN 10 DAYS PRIOR TO THE RENTAL DEPARTURE DATE REQUIRE FULL PAYMENT AND ARE NON-REFUNDABLE. NO REFUNDS FOR ANY CANCELLATIONS LESS THAN DAYS 10 DAYS PRIOR TO ORIGINAL SCHEDULED DEPARTURE WILL BE MADE. IN SUCH CASE RENTER WILL BE BILLED FOR 100% OF RENTAL FEE PLUS ANY FEES OR EXPENSES RELATED TO THE BOOKING. SPECIAL EVENT RESERVATIONS, INCLUDING BOOKINGS FOR DAYTONA 500, INDY 500, SUPERBOWL, WORLD SERIES AND OTHER DESIGNATED SPECIAL EVENTS ARE FINAL ONCE CONFIRMED AND ARE NON-REFUNDABLE / NON-TRANSFERABLE.
Exceptions to cancellation policy will not be made under any circumstances, including weather, medical or personal emergencies. No credit or refund will be made if the unit is returned prior to contracted date. In such event, the Renter shall be liable for all charges as if the unit was returned as scheduled. We strongly recommend obtaining travel Insurance covering trip cancellations and/or interruption. There are several ways to purchase Trip Cancellation/Interruption Insurance either through CSA TravelPRO, through your own provider or through a third-party travel insurance provider.
Allstar Coaches RV Rental Policies & Procedures
Booking Deposits – Each rental requires a Booking Deposit. To secure an advance reservation a MINIMUM $1,000.00 reservation/booking deposit is required. Booking Deposit amount will be applied to the rental fee. BOOKING DEPOSIT IS ONLY REFUNDABLE PURSUANT TO THE CANCELLATION POLICY SET FORTH ABOVE.
Security Deposits – Each rental requires a MINIMUM Security Deposit of $2,500.00. The Security Deposit is refundable at the end of the rental period less the cost of any damage, deductibles, loss of use, late returns missing or damaged equipment, incidental charges, cleaning, refueling, extra days and extra mileage fees. To avoid any additional charges billed against the security deposit, the motorhome must be returned at predetermined/designated time and location in the identical condition as received. Refunds are normally processed 10-14 business days following vehicle’s return. Increased Security Deposit amounts may apply to Non U.S. Renters, and/or in instances where there are occurrences of damage. Additional Security Deposits will apply to all deliveries, pickups and one way rentals in order to cover excess fuel, driver return fees, trip expenses and mileage costs related to unit’s return.
Driver Requirements – All Rentees and all authorized drivers must be at least 25 years of age and must posses a current valid driver’s license. While most states do not require any special licensing or endorsements to operate a private RV rental, some states or jurisdictions may require enhanced driver licenses, vehicle class endorsements or have set limitations on vehicle size and/or GVWR or GVM. Non U.S drivers must be qualified to operate RV have valid drivers permit or an International License and documentation stating they are permitted to operate oversize or specialty vehicles. Rentee attests that to the best of their knowledge, they and any of their additional driver(s) are properly licensed, and are qualified to safely and legally operate the rented RV. In the event that a Rentee or any authorized driver has a suspension or restriction on their license, or is prohibited to operate the RV, and the reservation is unable to be completed, it shall be considered a cancellation by the Rentee and subject the terms of our Cancellation Policy, based on the dates and pricing of the original reservation/booking.
Payments – Full payment is due prior to vehicle delivery or departure from an ASC location. We accept: cash, cashier’s check, bank wire, and credit or debit cards (Visa, MasterCard, American Express and Discover). Payments by personal/business check must be made at least 30 days prior to departure. Prepayment for one way rentals and/or re-positioning a rental unit (deadheading) to/from ASC locations is required at the time of reservation confirmation, and is non-refundable. Each rental will be charged a non-refundable Sanitation Fee of $50.00, and a $10.00/day EFM administration fee.
Vehicle Check Out / Check In – Rental vehicle check out times are by appointment only and hours may vary by season and location. Please allow up to 2 hours for unit orientation and signing of Rental Agreement at scheduled checkout time. If Rentee arrives to check out their unit after scheduled pickup hours, checkout may be subject to delays in processing checkout. In the event Rentee arrives less than two hours before dusk or later than 4PM EST, Rentee will not be permitted to check the unit out until the following morning and no pro-ration or refund will be made. No vehicles are permitted to be checked out or returned during non-daylight hours. In the event rental unit is returned after hours, Rentee will be charged one full additional day at the assigned Extra Daily Rate.
Mileage – Unless otherwise noted, 1000 miles per week are included at no charge, 750 miles for 5 day rentals. Additional mileage is charged by the mile, mileage rate varies depending on unit.
Convenience Kits – Are available on a complementary basis (subject to availability) and may be requested when making a reservation or at the time of pick up. Convenience/Hospitality Kits include bed linens, towels & washcloths, pillows, blankets, eating and cooking utensils, dishware, cups and glasses, toaster, coffee maker.
Pet Policy – Pets are only permitted in designated pet friendly rental units with ASC written authorization. Rentee will be charged a nominal $100.00 per pet fee as well as an additional pet deposit. Unauthorized pets in rental vehicles is a violation of policy and if evidence of unauthorized pet(s) is found Rentee subject to forfeiture of entire security deposit. For additional information refer to Violation of Policies section below. Renter is responsible for any damages caused by pets, whether per(s) are authorized or not.
Seat/Safety Belts – Vehicle capacity may not exceed the number of safety belts in the RV. Child car seats are required by law for each child under 4 years old.
Awnings – Damages to awnings are generally NOT covered by insurance unless a collision occurs. Be aware of rain and/or windy conditions. Take proper care of the awning and be sure to retract it whenever you leave the coach or retire for the evening. Most awning damages occur when the awnings are not supervised. Never leave RV unattended with any awning extended.
Smoking – Allstar Coaches is proud to offer our customers a 100% NON SMOKING rental fleet. SMOKING IS NEVER PERMITTED IN ANY VEHICLE and will result in absolute forfeiture of entire Security Deposit with NO EXCEPTION. We have a ZERO TOLERANCE POLICY FOR SMOKING IN any RV.
Violation of Policies – Rentee agrees that, if there is evidence found of any unauthorized pet and/or smoking in rental unit, Allstar Coaches will be entitled to liquidated damages in the amount of $2,500.00 or the entire security deposit, amount, whichever is greater. This is not a penalty but is intended to cover damages for intensive cleaning and diminished revenue value, which is difficult to calculate with certainty.
Insurance – Rentee agrees to contact their insurance company and request a policy endorsement & Certificate of Insurance be issued naming Allstar Coaches as additional insured. The policy should include coverage for liability, comprehensive and collision coverage plus any State mandated requirements. Maximum deductible shall not exceed $1000 per occurrence . Coverage for loss of use/lost revenue is not mandatory to rent the vehicle, however it is highly recommended. In the event of vehicle is damaged, Rentee is liable to pay all loss of use at the prevailing Extra Daily Rate stated on Rental Agreement, based upon 100% occupancy. Renter/Rentee is fully liable for any damages and lost revenue caused by accident, negligence, misuse or carelessness (including but not limited to roof/ body damage, interior, undercarriage, awning, windshield and tire damage). Allstar Coaches does not currently offer CDW to its customers. Rentee may seek separate coverage through a third party or independent insurer or through MBA Insurance, if available. If Rentee fails to provide valid insurance information prior to unit check out, or there is any lapse in coverage during any portion of the rental period, Rentee waives coverage and shall be liable for all damages and lost revenue.
Towing – Towing any vehicle or other object behind rented RV is strictly prohibited without express written authorization from Allstar Coaches. Potential tow vehicles or objects must fit the towing criteria, be physically inspected and approved by Allstar Coaches and be registered in the Rentees name in the same state driver’s license is issued. Rentee must provide valid proof of insurance specifically listing policy coverage limits naming both the RV and the towed vehicle or object that you are requesting authorization for. Only vehicles or objects equipped with permanently installed RV tow bar systems (Blue Ox, Roadmaster or similar) will qualify for towing authorization. Piggy back towing, or use of tow dollies or car carriers is strictly prohibited and never permitted. Towing any object without written authorization/permission is negligent and considered misuse and may void Rental Agreement. UNAUTHORIZED TOWING CARRIES A MINIMUM $2500 PENALTY.
Rental Unit & Standard Equipment – Allstar Coaches cannot guaranty the availability of specific RV rental units. Requests for specific rental units may be made and we do our very best to accommodate those requests, however there may be occasions when a specific unit may not be available due to circumstances beyond our control. In the case where requested unit is not available, we will provide a similar or comparable unit, or may provide Renter with upgrade/downgrade options. Allstar Coaches reserves the right to substitute another RV should the original RV requested become unavailable, and supply one that may be different from that requested or pictured in brochures or website. Every effort will be made in such cases to supply a comparable unit. Rates will be adjusted consistent with the RV supplied. Reservations cancelled due to the unavailability of a specific rental unit are subject cancellation penalties pursuant to our Cancellation Policy. All Rental units are equipped with air conditioning and awnings. Generally, motor home equipment also includes television, stored fresh water, flush toilets, waste/gray water holding tanks, cabinets/closets, hot water heater, range/oven, shower, furnace, refrigerator/freezer, microwave, AM/FM radio, generator, dining/sleeping accommodations and power steering. Rentee is not charged for these Items even though they are considered conveniences. If malfunctions of any of these items occur they are not considered breakdowns and no compensation will be made.
Technical Support & Roadside Assist – Allstar Coaches is committed to providing technical support and roadside assistance in the event of a mechanical failure, system malfunction, or roadside emergency. If our technical support team cannot resolve the issue over the phone, Allstar Coaches, at its sole discretion and depending on the situation’s severity, may either dispatch a technician to the vehicle’s location, refer the issue to a third-party service provider, or arrange for a substitute vehicle swap in extreme cases. The renter must ensure the technician has full access to the vehicle and be physically present with the keys when the technician arrives. If the technician cannot locate or access the vehicle, the renter will be billed for the service call and required to reschedule. No refunds, reimbursements, or adjustments will be made if the technician cannot dispatch a technician to the area, or access the premises or vehicle. Technical support and roadside assistance are available only within the contiguous United States and availability may be limited in remote areas due to the scarcity of technicians.
Accident/Incident Report – Allstar Coaches must receive a written accident report and support documentation of any and all circumstances involving any accident within 24 hours of any occurrence. Any accident which results in physical injury to any party must be immediately reported to law enforcement and be included with written accident report. If any accident occurs on private property, you must call the police and make a report. If they do not respond you must make a report yourself and document that the police have been called, logging the time and the officers name/badge number. You must note that police did not respond. Your rental binder (Motorhome Rental Support Guide) includes an blank accident report. Please use this form if an incident occurs. In the event of an accident/incident, and the Rentee does not fill out this form, Rentee may be subject to the insurance company denying coverage and leaving Rentee responsible for the entire claim, including all applicable damages. Your signature on Reservation Booking Request / Rental Agreement will confirm your acknowledgement and agreement to these requirements and terms.
